A public records request is a request for existing records that the City already maintains and that relate to City business.

Examples include:

• Emails or correspondence related to City matters
• City reports, agendas, and meeting minutes
• Contracts, permits, and licenses
• Policies, procedures, and manuals
• Invoices, budgets, and financial records
• Existing photographs or video recordings (when available and not exempt)

The CPRA applies only to existing records. The City is not required to create records or provide explanations.

The following are not public records requests:

• Requests asking the City to answer questions or explain decisions
• Requests for opinions, interpretations, or legal advice
• Requests asking staff to research, analyze, or compile information
• Requests for records that do not exist or for future records
• Requests for personal or confidential information protected by law

To help the City respond promptly, please:

• Be specific - Provide clear and narrow date ranges
•  Identify the department, subject, or type of record
•  For video or audio recordings, include a specific date, approximate time, and location, if known

Requests covering long time periods or large volumes of records may take longer to process and may require clarification.

The City will acknowledge your request within 10 calendar days, as required by law. Additional time may be needed depending on the volume of records, the need to review records for legal exemptions, or the format in which records are stored.

There is no fee to submit a public records request. However, the City may charge for direct duplication costs or data extraction and programming costs when permitted by law. You will be notified in advance if any costs apply.
